PRINTER TROUBLESHOOTING
Printer offline? Check these steps in order.
An offline message usually means the computer cannot currently reach the printer. Start with the simplest checks and test after each step.
1. Check power and error lights
Make sure the printer is awake, has paper and is not showing a paper-jam, ink or toner warning. Clear any message on the printer screen first.
2. Confirm the connection
- USB printer: reconnect the cable directly to the computer and try another USB port.
- Wi-Fi printer: confirm the printer and computer are connected to the same Wi-Fi network.
- Restart the printer, computer and router if the network appears stuck.
3. Clear paused or stuck jobs
Open your computer's printer queue. Cancel old jobs, make sure printing is not paused, and turn off any “Use Printer Offline” option if it is enabled.
4. Select the correct printer
Computers sometimes keep an older copy of the same device. Choose the printer that is currently connected and set it as the default if appropriate.
5. Reinstall only when needed
If the device still cannot be reached, download the correct software from the printer manufacturer's official support website. Match the exact model and operating system. Avoid unofficial driver-download sites.
Before remote support, close private documents and never send account passwords, banking details or unnecessary personal files.
